Minimum handover record

  • Business date and time
  • Module and record code
  • Guest, table, room, customer, supplier, or employee affected
  • Expected quantity or amount and actual quantity or amount
  • Currency, tax, payment method, and status when relevant
  • What has already been checked
  • What must happen next
  • Owner and deadline

Examples requiring handover

  • POS order fulfilled but not billed
  • Bill transferred to the wrong or unclear room
  • Guest balance unresolved at checkout
  • Stock quantity or unit conversion does not match the purchase document
  • GRN differs from purchase order
  • Payment exists in one list but not the expected report
  • Expense lacks supporting evidence
  • Payroll employee or total is unexpected
  • Channel booking, price, or availability does not agree
  • New Day is blocked

Passwords, PINs, full card details, identity documents, and unnecessary personal information never belong in the handover note.
