Start with the question¶
| Question | Start with | Then verify |
|---|---|---|
| Why did the quantity change? | Movement Report | Source document reference |
| What is on hand and what is it worth? | Stock Valuation | Movement closing quantity |
| What was bought and still owed? | Purchase Report | Purchase and payment records |
| What arrived from a supplier? | GRN and Received Items reports | PO and posted Purchase reference |
| Where did stock move? | Transfer Detail | Paired source and destination movements |
| What was lost or damaged? | Damaged Items or Losses reports | Damage or Stock Out document |
| What was returned? | Returns | Originating sale or cancellation |
Reconcile stock¶
Use the same period and warehouse throughout:
Opening balance + Total In ā Total Out = Closing balance
Trace differences in this order:
- Movement Report
- Source document number in the movement note
- Purchases, transfers, damage, or adjustment list
- Stock Valuation for the closing quantity and value
When alternate units are used, compare both the displayed unit and its base-unit equivalent. Do not add crates, packets, and pieces as though they were the same quantity.
Do not correct a reporting difference by creating a stock adjustment until the physical count and source documents have been checked and approved.
Daily review¶
Before New Day, run Movements for the closing system date and the GRN report for the receipt dates in scope. Confirm all Received GRNs intended for stock are Posted to Stock, then compare closing quantities with Stock Valuation.
